Reports to: Scholarship Program Director
Job Summary:
The Scholarship Program Coordinator maintains a comprehensive project portfolio for the Scholarship team while also supporting general office operations. The coordinator is a person who finds value in both helping coordinate calendars for meetings and logistics for events while also leading individual projects, managing assigned budgets, and supporting shared initiatives. A successful coordinator enjoys having a variety of tasks and projects to manage. This position will become a dedicated advocate for young adults pursuing higher education. The coordinator should appreciate the unique contexts and assets of Northern New Mexico and have a dedication to improving opportunities for youth throughout the region. This position is particularly focused on developing and maintaining professional collaboration with higher education institutions, industry, the Los Alamos National Laboratory, and local high schools. This is a partially grant-funded position.
Job Duties & Responsibilities:
- Primary Duties and Responsibilities:
- Support scholarship award, acceptance, payment, and renewal procedures
- Maintain database of scholarship awardee information and support processing of payments with 150+ students awarded more than more than $750,000 scholarship payments annually
- Support facilitation of 4-year, career pathways, and graduate-level scholarships, annually
- Collaborate with finance team for payment distribution and verification
- Communicate proactively with students to ensure timely completion of requirements
- Coordinate campus-based student engagement and support initiatives
- Facilitate grant funded Ambassadors program with state institutions, including technical assistance and potential expansion
- Guide student ambassadors working to build scholar communities at select New Mexico colleges
- Cultivate and maintain relationships with regional institutes of higher education
- Build and maintain scholarship alumni network by piloting and refining new engagement strategies
- Cultivate relations and assess needs and interests of LANL Scholars alumni
- Develop and maintain alumni contact database
- Support Scholarship Advisory Committee activities, including:
- Prepare outreach materials and assist with outreach efforts
- Assist with application screening, reviews, and selections
- Schedule and coordinate Advisory Committee meetings and events
- Facilitate the Professional Mentorship Program:
- Recruit working professionals to participate as mentors
- Match mentors and mentees based on shared interests, career paths, and identity
- Provide individual and group check-ins and support for mentors and mentees
- Summarize feedback from participants to evaluate program success and growth points
- Cultivate relationships, coordinate with partners and develop and implement engagement strategies.
- Plan, prepare, coordinate and execute meetings, workshops and events, including coordination of calendars with colleagues and external partners, crafting participant-centered agendas, preparing meeting materials, cultivating hospitality, ordering food, and managing other logistics.
- Coordinate with communications staff to ensure social media, promotional materials, and website needs are met for the Scholarship program. Compose and proof materials, including presentations, memos, reports, other documents and digital media communication needed for the program.
- Support program and project evaluation.
- Create, update and maintain organized files and records (physical and electronic).
- General administrative support for the Scholarship Program.
- Other duties as assigned.
Eligibility Requirements:
- Educational and Professional Experience Combined with a Learning Orientation
- BA/BS degree in education or another related field and a minimum of 3 years demonstrated experience, applied knowledge and past performance in those fields
- Mission Driven and Community Centered
- Strong commitment to the vision, mission and guiding principles of the Foundation
- Familiarity with the diversity of northern New Mexico communities, including prior knowledge and experience working with Native American Tribes, Pueblos and Nations, Native communities as well as Hispanic and Latino communities
- Team Oriented and Positive Communication Skills
- Strong interpersonal and facilitation skills including the ability to foster and encourage collaboration and work as part of a team
- Emotionally intelligent with the ability to effectively manage conflict
- Culturally competent and aware with ability to communicate and work effectively across multicultural settings and with a wide range of constituencies
- Strong ethical standards and integrity
- Strong organizing and facilitation skills with experience in setting priorities and meeting deadlines.

- Technical Skills, References and Writing
- Proficient in Microsoft Office, One Drive, Google drive and Google documents
- Experience in calendar management, travel arrangements and event planning preferred.
- Valid and unrestricted NM driver’s license
- Three (3) professional references provided
- Two (2) writing samples provided reflective of this job description.

The compensation range for this position depends on experience and falls in line with the LANL Foundation Salary Schedule.
