Document Management Support Contractor – Scope of Work

Contract Position: Flexible scheduling; $14,000 for completion of deliverables (includes GRT)

Contract term: August 2022 – November 2022; start/end date to be negotiated

Job Summary:

LANL Foundation’s Grants department is a rapidly growing and evolving department responsible for developing, implementing, and centralizing the Foundation’s grantmaking processes as well as maintaining and stewarding the vital grants data relied upon by all departments to further our Mission and Vision. We are in the process of transitioning from one grantmaking CRM to a new application SaaS and CRM SaaS. 

Document Management Support Contractor is responsible for gathering cloud-based grantee account documents necessary to complete this transition. 

Scope of Work:

  • Systematically backup all documents (via databases and websites) per granted organization necessary to complete our database transition.
    • Export all historical documents attached to requests in our Grants Management platform; saving as PDFs and filing them in our document retention system. 
    • Download Final and Mid-term / Interim Reports and Requests for Extensions or Budget Adjustments from our Google Suite as PDFs and file them in our document retention system. 
    • Extract Final Report Budgets (Grant Awards 2020 – 2022) from Blackbaud to document retention system. 
    • Attend project-specific trainings if- and as needed.
  • Attend weekly check-ins with Grants Staff to monitor progress throughout the 1st month, and bi-weekly check-ins thereafter until project completion. 

Desired Skills and Experience:

  • Strong attention to detail, strict adherence to data governance standards, and problem-solving skills required to ensure the success of our transition.
  • 1–2 years of progressive experience with northern New Mexico non-profit organizations, governmental organizations, quasi-governmental organizations, and pueblo, tribal communities or nations is preferred, but not required.
  • Experience in non-profit operations, document retention, and organizational management.
  • Experience in data engineering and database management required. Experience in Blackbaud preferred. 
  • Comfort with repetitive day-to-day tasks and the evolution of daily responsibilities.
  • Strong computer skills, including Windows Operating System, Web search engines, Microsoft Office (Word, Excel, PowerPoint), and Adobe Acrobat. Experience in Google Suite preferred.
